    Auto-indexing

    Cindi,

    I've been reading over the Auto Indexing and am not sure what I'm doing when it says to change your EZ Speakers Dictionary to include <Index on A> symbol after the <By Line> format symbol and before the word BY in the include file.  Then insert the <Index Off A> after the ^ATTY and before the colon.

    I find that when I run the index I get ALL occasions where BY MR. ^ATTY spoke, and what I want is only when they change attorneys for examination.

    So, my question, of course, is:  How do I set up the EZ Speakers Dictionary so I only get the first occurrence of asking questions BY?

    I have registered for the Chicago SG seminar, so I'll be asking more dumb questions there.

    That's actually not a dumb question, Ed.  I have the same issue.  I took the Index On commands out of my EZ Speakers dix and put them into my regular dictionary entries with the examination headings.  They look something like this:

    <Centered Paragarph>DIRECT EXAMINATION<Orphan Control 3 lines><By Line><Index On A>BY[!EZ Speaker 01]<Index Off A>:<Question> 

    But every time a by line appears after that initial header, then I still get the formatting symbols in every other by line that comes up (even after objections).  I would love to know a way to work around it.  For now, I have taken out all formatting symbols and go in and manually put them in each job.  (I search for the <Centered Paragraph>, which makes it easy to find them quick.)

    Thanks for reassuring me on this.  I am going to Chicago the end of the month for the annual SG training, which I really enjoyed and learned so much the last time I was there about two years ago.  In reviewing the topics it was suggested that we study from the CC CD the Self-Study Guide on Understanding automatic indexing.  This was very good reading, and I've tweaked my Master Index and it looks great.  I also picked up how to hide text.  I know it's been there a while, but hey, when you're newly retired, now is the time to learn.  Anyway, I'm trying to figure out this particular feature.  I'll continue to manually do this as I edit.  Could be I'll even learn how to do this in Chicago.  Cindi's the best.

    Let's say you write something like /STPHAO/STKPWHR for a by line when returning to Q and A after a colloquy or parenthetical interruption.  Let's also say that you write steno such as /TKROEBGS for Direct Examination, /KROEBGS for Cross Examination, etc. If that's correct, then in your EZ Speakers, I would recommend you define:

    /STPHAO/STKPWHR = <By-line><Orphan Control 2 lines>BY [!EZ SPEAKER 01]: <Question>

    /TKROEBGS/STPHAO/STKPWHR = <Centered Paragraph><Orphan Control 3 lines>DIRECT EXAMINATION<By-line>BY [!EZ SPEAKER 01]: <Question>

    /KROEBGS/STPHAO/STKPWHR = <Centered Paragraph><Orphan Control 3 lines>CROSS-EXAMINATION<By-line>BY [!EZ SPEAKER 01]: <Question>

    Assuming you only want page number references for BY MR. SO-AND-SO when it occurs in conjunction with an examination, I would only add in Index On and Off format symbols in the EZ Speaker dictionary entries that include the examinations, and not the EZ Speaker entry for the By Line when it does NOT occur with the examinations.

    Let me know if that makes it clearer.

    I did that (but the entires for the exams are in my personal dix), and I get "BY MR. SO" indexed every single time it comes up after the first examination.  Let me give you a little example:

                DIRECT EXAMINATION
    BY MR. SO:
    Q.  What is your name?
    A. Joe Schmoe.
    Q. What is your social security number?
        MS. BLOW:  I object and instruct the witness not to answer.
    BY MR. SO:
    Q.  Where do you live?

    This is a shortened example.  But any time the by line comes up as in the line before "where do you live," there's <Index On> commands around it.  And it is not defined that way in my EZ Speakers dix.

    Candis, in your example, was the second BY MR. SO automatically inserted by CATalyst?

    I'll review that tomorrow and see if I can get it to work.

    I know it's been around, but today I discovered how to do the Hidden Text to make the description in the Index.

    Candis:

    If you put the <Index On x> BEFORE the <By-line> format symbol, that should take care of it -- the Colloquy + Q=Auto By Line and Parenthetical + Q=Auto By Line copy all text and format symbols between <By-Line> and the colon or close paren or whatever is being used as the final symbol in the By line definition, before the next question or question text.  So if the Index On format symbol occurs before the By-line format symbol, it won't be copied by an automated by-line.

    Now that you've discovered hidden text, have you discovered the new "Make Exhibit Index Entries" function?   Fantabulous!!!  And you can assign the function to a key on your keyboard map.
